1. Introduction
CoolGrid Technologies (“CoolGrid”, “we”, “us”) respects the privacy of everyone who contacts us or uses this website. This policy explains what personal data we collect, why we collect it, how we use it, and the rights available to you.
We process personal data in accordance with Law No. 13 of 2016 concerning Personal Data Privacy Protection of the State of Qatar, and any implementing regulations or guidance issued under it.
2. What we collect
We only collect what we need in order to respond to you and deliver our services:
- Information you give us — your name, company, email address, telephone number, sector, and whatever you write in the enquiry form or send us by email or WhatsApp.
- Project information — technical details you share about your facility so that we can assess, quote or design a system.
- Technical information — standard server and analytics data such as approximate location, browser type, device type, and the pages you visited. This is used in aggregate to understand how the site performs.
We do not knowingly collect data from children, and we do not collect special categories of sensitive personal data through this website.
3. How we use it
- To respond to your enquiry and provide a quotation or proposal.
- To deliver, install, commission and maintain the systems you engage us for.
- To keep service, maintenance and warranty records.
- To meet legal, tax and regulatory obligations in Qatar.
- To improve this website and our service.
We do not sell your personal data. We do not use your contact details for unrelated marketing without your consent, and any marketing message we do send will include a way to opt out.
4. Why we are allowed to process it
We rely on one or more of the following: your consent (for example, when you submit the enquiry form); the necessity of processing to perform a contract with you or to take steps at your request before entering into one; compliance with a legal obligation; and our legitimate interest in operating and improving our business, where that interest is not overridden by your rights.
5. Who we share it with
We share personal data only where necessary, and only with:
- Service providers who operate parts of our infrastructure — for example our website host and the provider that delivers enquiry-form submissions to our inbox.
- Manufacturer partners, where a specific technical enquiry, warranty claim or equipment order requires it.
- Professional advisors, auditors or authorities, where we are legally required to do so.
Some of these providers may process data outside Qatar. Where that happens, we take reasonable steps to ensure an appropriate level of protection is applied.

6. How long we keep it
Enquiries that do not become projects are kept for [retention period] and then deleted. Project, maintenance and warranty records are kept for as long as the equipment is under our care, and afterwards for the period required by Qatari commercial, tax and limitation rules.

We apply reasonable technical and organisational measures to protect personal data against loss, misuse and unauthorised access. This site is served over HTTPS. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security, but we take the obligation seriously.
8. Your rights
Subject to the conditions in Qatari law, you may ask us to: confirm whether we hold personal data about you and give you a copy; correct data that is inaccurate or incomplete; delete data where there is no continuing lawful reason for us to keep it; restrict or object to certain processing; and withdraw a consent you previously gave.
To exercise any of these, contact us using the details in section 11. We will respond within the period required by law. If you are not satisfied with our response, you may raise the matter with the competent supervisory authority in Qatar.
